FORMULATOR Improvements V 5.2 – November 2009 |
This list reports significant bug fixes and enhancements to the FORMULATOR suite added since February 2009 in addition to the improvements listed in V4.8 to V5.1. All 5.2 fixes and new functions have been tested both by our staff and by live field installations.
GENERAL – Version 5.2 Release
Version 5.2 continues the rework of the Formulation Maintenance user interface functions changes and adds significant new utilities that enhance FORMULATOR in the Lab, for MSDS development and for small business Production & Inventory applications. Version 5.2 has been running daily in multiple Beta sites for more than 8 months. It was released to accounts that needed the new functions as they were added. Accounts that updated to any version 5 upgrade will only need to upgrade their server installation. Accounts that are still running version 4 or 3 will also have to upgrade their client computer installations. We recommend that all accounts no matter which version they are running, including version 5.2, upgrade to the latest 5.2 release. All upgrades update directly to the current version, there are no intermediary steps. There is an automated database upgrade from version 5.0 or 5.1 installations. Upgrades from version 3 or 4 will have their databases automatically converted to the new version 5 structure when first running Version 5.2 but may need some support during the upgrade. We recommend a training session for version 3 and 4 upgrade accounts.
All new functions have been documented and HELP screens created to aid the User to better understand the new functions. The Knowledge Base has been extended to include new features and can be called by Licensed Users from the HELP file. The Knowledge Base is designed to answer many of the common questions asked by our clients and guide them as they grow their knowledge of FORMULATOR. Now separate HELP files for Chemical/Cosmetics vs Nutritional/Pharmacutical versions.

A review of the functions and enhancements in the release of Version 5.2 follow; by module organized by menu calls:
General Functions
If a previous instance of FORMULATOR is running on start-up– now examines each running process, and shuts down with a message if another instance of the EXE is found in the process list. NOTE: The process is the exact exe name, i.e. “FORMULATOR 5 1 195.exe” is a different process from “FORMULATOR 5 1 196.exe”, and both would be allowed to run.
Login – user name – changed to “User ID”.
Main Menu – User is allowed to run QC but not production – disallowed user permission to the batch editor
Main Menu – Production Manager – Converts menu to version 5.2 layout
Presets – Setting up presets – “Save As” – if a preset is highlighted, that preset is now the default “save as” value.
Raw Material Maintenance, Formula Maintenance, Batch Edit, Fill Ticket Edit, BOM Maintenance, Advanced Costing – Internationalization of floating point fields – no longer truncates values after the decimal place (comma).

10. Raw Material Maintenance
Multi-user mode – unlocked – cost decimal selector was mistakenly also locked.
File menu – now includes a “Renumber” option. Renumbers the current raw material code to a different raw material code.
File menu – now includes a “Import Renumbering Spreadsheet” option. Renumbers the current raw material code to a different raw material code based on the contents of the spreadsheet selected. Old code goes in column “A”, new code goes in column “B”..
Renumbering spreadsheet – now supports re-numbering into existing raws if the spreadsheet cell A1 reads ”Allow Renumber Into Existing Raws”.
Options – set tab visibility incorrectly.

20. FORMULATION Maintenance
NEW! File menu – now includes a “Renumber” option. Renumbers the current formula code to a different formula code.
Formula Log – Now displays the user ID responsible for the changes on the first row of the grid.

20. Formulation Maintenance – in percent mode – creating intermediate record – did not account for intermediate’s yield % in the unit cost if yield % <> 100.
Now disallows saving a formula if the formula contains itself as an ingredient.
Delete – if formula’s intermediate record has been changed to a raw material, it will no longer be deleted as part of the formula delete routine.
Calculation results – refresh button – wiped out any loss percents in the formula and replaced them with the raw material’s default loss percent. New behavior: do not wipe out loss percents.
% versus natural modes – switching now adds to UNDO list.
Blank QC standard – no longer saves blank QC standards.
Maximum formulas in effect – prevented all formula saves
Targeted calcs, undo/redo – class copy did not copy cost units, resulting in erratic behavior in the unit cost.
Results – Redo – was not disabled when redo list empty.
BOMs – now displays capacity units as Formula Maintenance function.
BOMs – Click on code link – if not on file – now informs user BOM is not on file, and directs user to click “Create BOM” to create the BOM.
Edit mode – edit mode replace is now ON except for text lines.
Unit Cost+Freight column now totals at bottom
Vendor code, vendor name columns – if raw material has assigned vendors: pull-down list activates with the choices pre-highlighted prior to editing.
Formula – Vendors – now supports vendor-specific unit cost and cost date based on new multi-vendor raw material costs.
Formula – Vendors – now shows raw material vendor list contents when entering a vendor name or code. If raw has no vendors listed, all vendors will be available in the list.
Equation Results – Reverse calculation for a dilution – if ingredient was in volume, did not compute properly.
File – Print – If all ingredients have an SG of 0 – caused overflow in print routine (error 6).
BOM list - Pharmaceutical version – Eaches per Dose now included in BOM list.
Formulation tab – BOM / Packaging panel – dropped “Explode BOM” column. No longer applicable.
Formulation tab – BOM / Packaging panel – dropped “BOM / Package” column. No longer applicable.
Formulation tab – BOM / Packaging panel – excludes “Eaches per Dose” column when nutritional mode is inactive.
Formula text lines and batch text lines were limited to 80 characters. New limit is > 1,000 characters. Carriage returns are also allowed.
Text lines are unlimited in size and may contain carriage returns. Reports have been modified to accept this change.
Formula Print – INCI Names – if no INCI name, nothing appeared for the item’s description. New behavior: fall back to raw material’s description if no INCI name on file.

Formula Regulatory Tab
Regulatory – Is now in three sections: shipping, hazmats/ratings, and symbols.
Regulatory – Now includes EU and WHMIS symbols.
Regulatory – EU Ratings – now has look-up list next to phrase text boxes. Lists are taken from EURiskPhrases.txt and EUSafetyPhrases.txt. These two files must be located in the FORMULATOR folder for the look-up windows to work properly. The risk and safety phrase files can contain any arrangement of phrases in any language supported by the basic text file.
HazMat formula – manual – now preserves hazmat formula when selecting columns or presets.
WHMIS Symbols – Automatic – now displays symbols based on hazmats listed in the hazmat formula when WHMIS symbols are set to automatic.
WHMIS symbols – automatic modes – now sets symbols based on the hazmats when loaded or refreshed (to refresh, move off the “Regulatory” tab and then back again).
MSDS Output – Now supports manual WHMIS symbols.
Formula Nutritional/Active Ingredients (Pharma) Tab
Calculation engine – nutrient values – with line losses – gross was not calculated correctly. Net and Net plus Overage values were OK.
Forrmula – Nutritional – “Scale xN” button will scale formula to “N” doses or servings.
Formula – Serving size units – now converts old serving size to new serving unit when serving unit changes.
Inventory Tab – With Inventory Manager Only.
Raw materials and formulas – inventory tab – show oversold lots option – now reads “Show Zero and Oversold Lots”.

Adds materials and packaging Losses to Assemblies for fill ticket and cost analysis, adds ability to define QC tests to be run and recorded during packaging. Displays all details and links to records for direct editing including materials, formulas and packaging.

Assembly – Components – NEW COLUMN – “Loss %”. Allows user to indicate loss percent for bulk and packaging items. These amounts will be added to the overall BOM cost, and also added to the final fill ticket totals when calculating initial fill ticket requirements.
Assembly – Pricing panel – now includes total cost, overage percent, and gross cost. Gross cost = total cost * (100 + overage %)/100. Margin is now calculated from gross cost.
Assembly – Pricing panel – BOM inside another BOM – packaging costs of the inner BOM were not being picked up in the future costing columns.
Advanced costing – BOM within a BOM – future packaging costs were not being stored within the intermediate BOM cost record.
Advanced costing – BOM Intermediate cost records – now scales the cost up according to the BOM’s overage percent. The overage percent is found in the Assembly tab, in the Pricing panel.
BOM FIND window – now includes Location column
BOM Maintenance – Inventory – Now includes default location field. Free form to 25 characters.
51. Advanced Cost Analysis Utility
Now includes Packaging Materials as well as raw materials.
Freight costs by raw material or packaging – Are available ONLY with advanced costing.
Generate cost records – now allows generation for secondary vendor records if they exist for a given raw material. This does NOT apply if all vendors are chosen.
Generating records – generated records for items with 0 cost, resulting in 0 cost future records. New behavior: current cost must be > 0.
Advanced Costing – Multi-sheet – changed label for raws from “Bulk” to “Raw Materials”.
cost update – ignored primary vendor assigned to raw material, and just used first cost record it came to. New behavior: if raw has primary vendor, use matching vendor or blank vendor records only during update.
cost update – Now also updates raw material vendor cost list.
Packaging – Now includes purchasing factor and purchase cost.
52. Analyzer – new engine released for multi-variable formulation development
Analyzer Objective Ingredients Builder expanded (Nutritional & Pharma ONLY). Includes Supplement and Fortify modes.
Analyzer – Now has NEW and FORTIFY modes. FORTIFY mode adds nutrients on top of an existing formula (i.e. uses most concentrated nutrients to increase potency). NEW mode formulates to meet the objectives from scratch (i.e. when building a tablet or supplement).
Analyzer – FORTIFY mode – if any objective cannot be reached (too low) – now suggests increasing the serving size.
Objectives – Ingredient Builder and Analyzer – I.U.s – Fortify mode – wiped out original ingredient quantity in some circumstances. Fixed.
Objectives – Ingredient Builder and Analyzer – now has a “Working…” window with a cancel button.
Objectives – Analyzer - Fortify mode – Iterates 20 times for each objective or until the objective is reached or the user clicks “Stop Working”.
Objectives – Analyzer - Fortify mode – Now re-scales to total formula to its prior total when the fortify cycle is complete.
Ingredients Builder – Now includes menu option Select, First ingredient for all option. Selects first ingredient listed for each objective.
Formula – Objectives – Ingredients Builder – with BOM selected – now automatically adds a filler objective if one does not exist. If no filler item is specified, asks user to specify the filler material. If no material is selected, user is told that target BOM size may not be met.
Formulation Maintenance / Analyzer – Objectives - Ingredients Builder – non-standard unit nutrients, i.e. IUs, RAEs, etc. – are now displayed as units per gram.
Objectives – Toolbar – now includes Overage setting, “Ov%”. Sets overage of all nutrient objectives. Also – Build is now a toolbar icon, “B”.
Objectives - Ingredient Builder – previously set serving units to grams. New behavior: if serving units are valid, convert from grams to formula’s serving size.
Objective select – mass select – now beautifies rows added after selection is complete.
Objectives – Builder – now sorts by potency with highest potency materials listed first
Objectives – FIND – now provides checklist of all selected objectives. User can then select any number of objectives all at once.
Objectives – Now includes INERT and FILLER objectives. FILLER will increase to meet BOM capacity. INERT is a fixed initial percent in relation to the unpackaged formula. The overall INERT percentage may decrease if filler is increased to meet fill capacity.

53. Nutrient Labels
Print – Now renders graphic to output device at device’s resolution.
Utility now available to output to jpg and other print graphics.
If nutrient had a 2000 calorie diet guideline – and “No Daily Value” was checked – still displayed daily value. New behavior: do not display daily value if nutrient has “No daily value” checked.
Added jurisdiction selector above serving size grid. Now allows toggle between US and Canadian DVs and diet recommendations.
Nutritional labels – objectives – it was possible to leave a space at the end of a nutrient’s description, causing the nutritional routines to “miss” any nutrients that has a space at the end. New behavior: Do not allow spaces at end of nutrient descriptions. Data update corrects any existing data issues.

Expires Date – if fill ticket’s “Expires date” is empty, and the BOM specifies a shelf life days, then the expires date will be set for the fill ticket during posting. If the fill ticket has a valid QC date, the shelf life days will be added to that to establish the Expires date. Otherwise, the shelf life days will be added to the current date.

920. Physical Property Set-up
Physical Properties Set-Up – Basis – Now includes two new bases, “% Weight Surfactant” and “HLB Number”. Both properties are required to compute the HLB number of a mixture. % Weight Surfactant indicates the total percent weight of a surfactant in a given blend. The HLB number is the hydrophilic lipophilic balance number of the surfactant portion of the mixture (base of 0-20 is arbitrary, any basis is valid). For “pure” surfactants, the % weight surfactant is 100, and the HLB number is the HLB number of the surfactant. If the surfactant portion is less than 100%, the HLB number should reflect the HLB number of just the surfactant portion of the mixture. Only ONE HLB number property is supported per database at this time.
Saving a second (or more) copy of NCO, OH, surfactant, or HLB properties – now warns user that multiple properties of these types are not currently supported.

FORMULATOR Improvements V 5.1
This list reports significant bug fixes and enhancements
to the FORMULATOR suite added since August 2008 in addition to the
improvements listed in V4.8 tp V5.0. All 5.1 fixes and new functions
have been tested both by our staff and by field live installations.
GENERAL – Version 5.1 Release
Version 5.1 continues the rework of the Formulation
Maintenance user interface functions changes and adds significant new
utilities that enhance FORMULATOR in the Lab and for small business
Production & Inventory applications. Version 5.1 has been running daily in
multiple Beta sites for more than 8 months. It was released to accounts that
needed the new functions as they were added. Accounts that updated to any
version 5 upgrade will only need to upgrade their server installation.
Accounts that are still running version 4 or 3 will also have to upgrade
their client computer installations. We recommend that all accounts no
matter which version they are running, including version 5.1, upgrade to the
latest 5.1 release. All upgrades update directly to the current version,
there are no intermediary steps. There is no database upgrade from version
5.0 or 5.1 installations. Upgrades from version 3 or 4 will have their
databases automatically converted to the new version 5 structure when first
running Version 5.1. We recommend a training session for version 3 and 4
upgrade accounts.
All new functions have been documented and HELP screens created
to aid the User to better understand the new functions. A Knowledge Base has been created and can be
called by Licensed Users from the HELP file. The Knowledge Base is designed
to answer many of the common questions asked by our clients and guide them as
they grow their knowledge of FORMULATOR.

GENERAL – Version 5.0 Release
Version 5.0 is a fundamental rework of the Formulation Maintenance user interface functions. The objective was to provide our Users with greater flexibility, ease of use, navigation aids; yet provide better tools for each Formulation Chemist and Food Technologist and Regulatory Agent in the basic creation and modification of their formulas.
Database Upgrade:
When upgrading to Version 5 older databases will be automatically converted to the new database structure when first running Version 5. The database conversion adds the new and extended fields that are a part of the new features and functions of Version 5. When doing the data conversion FORMULATOR must be closed at all connecting network client computers. Users with large databases should expect the data conversion to take less than a half hour. Most will take less than 15 minutes.

Most screens now allow the user to set up the functions of the information to be viewed to meet their own requirements. Each User can set up the data on their screens the way they like them without changing the set-up of other Users on the same network utilizing the same database.
